Atlas Professionals are looking for a driven organised Administrator to join our friendly Houston team. We have a strong team dynamic and work closely together. This role is pivotal for the team to be successful. If you are responsible, a self starter and team player who enjoy a fast paced varied role this is the role for you!
Our Administrators develop a partnership with our professionals and internal stakeholders to provide logistical solutions and various administration tasks.
Role Description and Responsibilites
As an Administrator you will be the first point of contact for your professionals in terms of their logistics. In addition to this you will be required to have the following experience and skill sets
Administrative Support
• Maintain candidate records and all necessary verification/ onboarding requirements
• Format CVs and support the preparation of candidate submissions.
• Assist consultants with interview scheduling and calendar management.
• Handle general correspondence (emails, letters, memos).
Front Office Duties
• Greeting visitors and managing incoming calls and emails in a professional manner.
• Ensure the office areas are tidy, stocked, and presentable.
Data Entry & Compliance
• Input and update data in the company’s recruitment system
• Ensure candidate documents are accurate and compliant with legal, immigration, and client
requirements.
• Assist with audits and maintain GDPR and confidentiality standards.
Office Management
• Order and manage office supplies and equipment.
• Liaise with vendors and building management when necessary.
• Assist with onboarding of new employees (desk setup, IT access, etc.).
Finance & Timesheet Support
• Collect and process time sheets and expense claims where applicable.
• Support basic invoicing and liaise with accounts teams as needed.
Event & Travel Coordination
• Support the organization of internal events, meetings, and travel and training arrangements for staff or
candidates.
• Organising mobilisation details to include travel, visa and accommodation and ensure timely
communication and confirmation with candidates & Clients.

We are looking for someone that thrives in a fast paced environment and is able to solve problems and be proactive to provide practical solutions when faced with changing circumstances.
Education & Training
• High School Diploma or equivalent required; Associate’s or Bachelor’s degree in Business Administration
or related field preferred
Knowledge & Experience
• 1 year of experience in an administrative, office coordination, or executive assistant role
• Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office management systems
• Experience managing schedules, coordinating meetings, handling office supplies/inventory, and
supporting HR or finance functions highly desirable
• Familiarity with document control, travel arrangements, and recordkeeping practices
• Understanding of basic accounting principles and administrative procedures highly desirable
