Payroll Associate
Under direct supervision, performs the full range of record keeping and payroll processing activities. Work consists of administrating time and attendance functions, computing wages and overtime payments, calculating and recording payroll deductions, processing employee requests for deductions and deposits, determining and correcting out-of-balance conditions, and processing terminal leave payments in an accurate and timely manner. Contacts with others are primarily for the purpose of receiving and exchanging information and require normal courtesy, tact, and effectiveness in dealing with others. Work is routine and follows established procedures, although responsibilities may include routine corrections to make documents acceptable for processing.
EXAMPLES OF WORK:
• Checks and audits time keeping records for conformance with established standards.
• Maintains time and attendance records.
• Sets up direct deposits and savings bonds.
• Verifies different types of earnings according to the guidelines of each collective bargaining agreement.
• Computes wages and overtime payments including calculating and recording of payroll deductions.
• Determines and corrects out-of-balance conditions and assists employees with payroll problems.
• Posts changes to payments, tax status, and any other miscellaneous changes.
• Processes employee data, which includes payment changes, direct deposits, W-4 information and other tax and payroll related changes.
• Processes payroll reports and distributes to proper department for verification of leave accounts, earning and pay rate.
• Processes bi-weekly payroll checks and distributes to proper department for distribution.
• Interfaces with external and internal customers for payroll purposes.
• Performs research and provides historic information as required.
• Runs, exports, attaches, and submits payroll payment processing and contribution files.
• Works with Payroll Analyst to ensure payroll processing procedures and work instructions remain updated.
• Assists in basic training of daily work performed by peers.
• Perform quality control and validation of a variety of payroll processes to ensure payroll accuracy and conformance with established standards.
• Balances and controls earnings and deduction totals during payroll process.
• Processes involuntary deductions such as levies, garnishments, or domestic relations court orders.
• Reviews and helps to reconcile automated system output such as registers and standard reports.
• Calculates and processes special pay requests.
• Operates standard office equipment and uses required software applications.
• Performs other job-related work as assigned.
KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge of:
• Office methods and procedures.
• Bookkeeping and payroll principles, practices, procedures, and methods.
• Collective bargaining agreements to verify different earnings type according to the guidelines of each collective bargaining agreement.
• Federal tax laws to calculate correct manual paychecks and how to apply the tax law with garnishments, levies and earned income credit.
Skill in:
• Navigating, inputting and extracting employee payroll related information using electronic payroll systems (e.g. Oracle)
• Making and verifying mathematical calculations and computations.
• Operating standard office equipment and using required software applications (e.g. Microsoft Office suite including Word, Excel, and Outlook). Intermediate skill in Excel is required.
• Critical thinking for problem analysis and resolution.
• Maintaining a simple set of accounting records.
• Posting figures accurately.
• Comparing names and numbers.
Ability to:
• Create and upload B-Batches and validating imports.
• Follow oral and written instructions.
• Read, write, and communicate in English.
• Establish and maintain effective working relationships with external and internal customers at all levels of the organization.
• Communicate effectively, both orally and in writing.
• Identify and suggest solutions to routine or recurring problems.
OPEN REQUIREMENTS:
Education: High school diploma
AND
Experience: Minimum three (3) years of experience processing payroll in a corporate environment.
Licensing/Certification/Registration: A Payroll Professional certification is preferred.
