Position Summary:

We are seeking a highly organized, detail-oriented, and proactive Construction Office Manager to support the daily operations of our company. This role is vital in maintaining project organization, ensuring smooth administrative workflows, supporting estimating and billing, managing communication with customers, and assisting with permitting. This position is ideal for someone who enjoys wearing multiple hats and wants to grow with a company that values initiative and reliability.

Key Responsibilities:

1. Administrative & Project Coordination

  • Maintain project organization and updates using Buildern
  • Manage digital project files in Google Drive and Buildern.
  • Coordinate timelines, schedules, meetings, inspections, and required documentation
  • Assist the permit runner with preparing permit packages
  • Ensure all subcontractor documentation (contracts, insurance, W-9s) is collected and current
  • Support job start-up and close-out activities with accurate record-keeping

2. Estimating & Proposal Support

  • Prepare and submit proposals, scopes of work, and bid packages using templates or references
  • Assist in reviewing takeoffs and pricing with internal team
  • Track outstanding proposals and follow up on status

3. Financial & Documentation Tasks

  • Generate and send invoices to clients
  • Draft pay applications (AIA format preferred)
  • Maintain payment logs, lien releases, and change order records
  • Coordinate material orders and reconcile vendor invoices
  • Support internal cost tracking and job profitability records

4. Client & Team Communication

  • Communicate with clients to schedule site visits, obtain approvals, and respond to questions
  • Relay project updates and changes to customers in a timely and professional manner
  • Forward technical questions or issues to supervisors and ensure timely follow-up
  • Confirm job access details and coordinate deliveries or rentals

5. Business Development Support

  • Research and monitor new project opportunities (PlanHub, BidClerk, GC portals)
  • Register the company with general contractors, vendors, and property managers
  • Assist with qualification packages and company marketing documents
  • Help maintain a database of past projects, photos, and references
