Job Description

A respected law firm is seeking a meticulous Receptionist / Publications Clerk to handle front‑desk duties and provide specialized support to their Elections Department. This role blends high‑touch client service with critical administrative work on ballot propositions and election notices.

Responsibilities:

  • Front‑Desk Reception: Greet visitors, answer and route calls with a clear, professional voice, and manage incoming mail and deliveries.
  • Correspondence & Drafting: Prepare and proofread letters to election officials and the Secretary of State’s office, ensuring accuracy in grammar, numbers, and legal terminology.
  • Ballot Proposition Support: Assist in drafting, proofing, and formatting the specific proposals that will appear on ballots, collaborating closely with attorneys and election specialists.
  • Public Notice Management: Coordinate publication of election notices in newspapers and online outlets; track affidavits of publication and maintain detailed records.
  • Data Accuracy & Logging: Record and verify polling‑place numbers and vote counts; capture and relay messages accurately when attorneys or staff are unavailable.
  • Office Assistance: Support conference‑room setup for Elections Department meetings and perform other administrative tasks as assigned.

Requirements:

  • High school diploma or GED required; coursework in office administration, legal studies, or related field preferred.
  • 1–2 years of receptionist or administrative experience, ideally in a law firm, professional services, or high‑end hospitality environment.
  • Exceptional proofreading skills and strong numerical aptitude; must handle vote counts and polling data with precision.
  • Excellent verbal and written communication skills; clear phone presence is essential.
  • Professional demeanor and reliability.
  • Ability to work independently, prioritize tasks, and maintain confidentiality.
