Job Description

The Employee Services/Office Coordinator plays a key role in shaping a positive and productive employee experience at PROCEDEO. Serving as the first point of contact for employee inquiries and lifecycle events, this individual ensures timely, accurate, and respectful support across all levels of the organization. With a strong service mindset and attention to detail, this role supports office operations, facilitates communication between employees and leadership, and helps implement employee programs. Responsibilities include managing office logistics, coordinating meetings and events, maintaining administrative systems, and supporting staff with reporting and system entries—all contributing to a well-organized and engaging workplace.

Responsibilities:

  • Support recruitment and facilitate onboarding processes (job postings, interviews, offer letters, pre-boarding paperwork, background checks, orientation, etc.).
  • Advise and support employees and managers on company policies, benefits, procedures, and PTO tracking.
  • Provide support in handling employee relations, conflict resolution, and disciplinary actions while ensuring documentation meets applicable legal requirements. 
  • Partner with leadership and legal teams to monitor and ensure compliance with federal, state, and local labor laws.
  • Always maintain confidentiality and professional discretion in handling sensitive employee information.
  • Support performance review process and assist with training coordination.
  • Oversee day-to-day office operations, supplies, scheduling, and vendor management.
  • Maintain a clean, organized, and professional work environment.
  • Coordinate office equipment maintenance, IT support liaison, and facilities management.
  • Support leadership in coordinating meetings, travel, and company-wide events.
  • Develop and maintain administrative systems and procedures.
  • Assist staff with monthly credit card reports and system entries.
  • Perform all other tasks and duties as assigned.

Qualifications and Skills:

  • 1–3 years of experience in human resources, employee relations, or administrative support with a strong customer service component. 
  • Understanding employment law and HR best practices.
  • Proficiency in Microsoft Office Suite.
  • Excellent interpersonal, organizational, and communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • High level of discretion and integrity with handling confidential information.

Work Environment:

  • This position is an in-office position at the Procedeo national headquarters in Grapevine, Texas.
  • A fast-paced, collaborative environment focused on delivering high-impact employee experiences. 
  • May require occasional extended hours or flexibility during peak periods (e.g., benefits open enrollment, performance review season).
