Healthcare Documentation Specialist Summary

We’re seeking a detail-oriented and experienced Healthcare Documentation Specialist to join our Medicare Marketing team. In this role, you will serve as the final checkpoint for marketing communications, ensuring materials meet regulatory standards, brand guidelines, and are free of errors before public release. You’ll play a key role in maintaining the accuracy, compliance, and credibility of web, print, and multimedia assets distributed to Medicare beneficiaries—both internally produced and vendor-supplied.

Key Responsibilities

  • Ensure all Medicare-related materials meet CMS (Centers for Medicare & Medicaid Services) Marketing Guidelines and readiness checklists.
  • Proofread and fact-check content for accuracy , including product information, benefit details, phone numbers, disclaimers, codes, and key dates.
  • Check for correct grammar, spelling, punctuation, formatting, brand tone, and legal disclaimers.
  • Confirm that all Subject Matter Expert (SME) revisions are accurately applied.
  • Maintain consistency in style and voice across diverse communication channels (e.g., digital, print, video).
  • Cross-reference documents using internal databases, matrices, and existing materials to verify content accuracy.
  • Collaborate effectively with marketing team members and compliance partners, following direction and contributing to quality improvement efforts.
  • Stay up to date with evolving CMS regulations , company branding guidelines, and Medicare communication standards.

Required Qualifications

  • 2–5 years of experience in a quality assurance, proofreading, or editorial role, preferably within a regulated healthcare environment (Medicare, health insurance, or pharmaceutical marketing).
  • Strong familiarity with CMS marketing requirements , particularly in relation to Medicare Advantage or Part D products.
  • Proven ability to review print-ready PDFs , variable content, and data-driven matrices or tables.
  • Exceptional attention to detail and ability to manage multiple deadlines in a fast-paced environment.
  • Strong collaboration skills; comfortable receiving feedback from internal stakeholders.
  • Proficiency with editing tools and platforms (e.g., Adobe Acrobat, MS Word, SharePoint).
  • Bachelor’s degree in English, Communications, Journalism , or a related discipline.

Preferred Qualifications

  • Experience working with content management systems (e.g., Workfront, Aprimo, Veeva PromoMats).
  • Familiarity with legal review processes for marketing content.
  • Understanding of healthcare marketing best practices and terminology.
