Neuro Wellness Spa is recruiting a Medical Front Office Assistant for a full-time position.

Since 2009, Neuro Wellness Spa’s dedicated, knowledgeable and compassionate team has worked to ensure our patients receive the highest quality, most comprehensive mental healthcare possible. As a premier provider of rTMS, Therapy and psychopharmacology, Neuro Wellness Spa continues to expand throughout California with locations in Manhattan Beach, Torrance, Santa Monica, Beverly Hills, Westlake Village, Encino, Long Beach, Marina Del Rey, Pasadena, Brea and upcoming Lake Forest location.

We are currently seeking a highly-organized, friendly and compassionate assistant with experience working in a clinical setting. With access to renowned amenities of Southern California, this full-time position offers competitive hourly compensation as well as the opportunity to support a team of experienced clinicians dedicated to exceptional patient care.

The ideal candidate is highly organized and able to manage prescriber schedules; establish, update and maintain all client databases; and schedule appointments. We are looking for a friendly person who puts our patients at ease and enjoys building relationships with the team.

• Welcome patients as they contact the office personally or by telephone, and explain the services available, payment categories, and billing procedures
• Answer multiple phone lines; directs calls and takes messages as needed including pharmacy calls, medical records requests and authorizations for medications
• Verify patient information and insurance eligibility; collects payments and copayments prior to patient appointments
• Direct patients to complete forms and processes patient-related intake, prescription refill and disability paperwork in DrChono EHR
• Inform providers of no shows and cancellations
• Schedule appointments or follow-up appointments for patients using DrChrono EHR
• Contact bumped patients and reschedules appointments as appropriate
• Perform various front-office duties in a fast-paced, customer-oriented clinical environment, as assigned
• Maintain clinic patient flow, balancing registration requirements and documents, patient appointment times and non-appointment activities.
• Maintain work area and lobby in neat manner
• Any additional duties as assigned by manager
